Manual: Portfolio & Portfolio Template

1. Create a portfolio

If a portfolio template is provided in a course or group, course and group members can open it and create their portfolio directly using the «Create Portfolio From Template» button. Otherwise, a portfolio can be created as follows:
In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Click on «Add Portfolio».
Give the portfolio a «Title».
Choose whether you want to create your portfolio without or with a portfolio template.
Create without Template: Activate the «Page» option and enter the title of your landing page.
Create from Template: Select a portfolio template from the drop-down menu.
Only templates that are available for you to use are listed in the drop-down menu. This includes templates you have created (see 2. Create a portfolio template) and templates created in courses where you are a course member.
Click «Create».

2. Create a portfolio template

Click on «Add New Item».
Select «Portfolio Template».
Give the template a «Title».
If you have an existing portfolio whose structure you want to adopt for the template, select it from the drop-down menu. Otherwise, skip this field.
Click on «Create Portfolio Template».

3. Access & adjust settings

Access the settings of the portfolio

In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Open the portfolio's actions menu.
Select «Settings».

Access the settings of the portfolio template

Go to the location on ILIAS where you have stored the template.
Open the template's actions menu.
Select «Edit».
Go to the «Settings» tab.

Adjust settings

The setting options of the portfolio and the portfolio template are, with a few exceptions, identical. 
Set the portfolio or portfolio template «Online» to make it available.
A portfolio that is «Online» is not visible to others until it is shared (see 5. Share a portfolio).
For portfolio template only: You can set a «Limited Availability Period». Outside of this period, the template is not visible to users, whether online or offline.
For portfolio template only: Under «Tile Image» you can upload a tile image for the template (see also Manual: Tile design). 
When inserting images, please follow the recommended image sizes (see Notes on image sizes on ILIAS).
If checked, the portfolio creator's profile picture will be displayed to the left of the portfolio title.
If checked, users can comment on your portfolio pages.
«Save» your settings.

Hide a portfolio template

If you have students submit portfolios via an exercise (see 6. View other people's portfolios or Item description: Exercise), we recommend hiding the portfolio template from course members in the course room because the template will already be stored in the exercise. This way, confusion about where to create the portfolio can be avoided. Follow the steps below to hide the template:
Go to the location on ILIAS where you have stored the template.
Open the template's actions menu.
Select «Edit».
Go to the «Permissions» tab.
In the «Course Member» column, uncheck the «Visible» permission.
«Save» your settings.

4. Add & manage content

Enter edit mode of the portfolio

If at least one page already exists in your portfolio, you can open the portfolio and click «Edit Portfolio» to edit the portfolio, or «Edit Page» to edit the current page. If no page has been created yet, follow the steps below:
In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Open the portfolio's actions menu.
Select «Edit Content».

If at least one page already exists in your portfolio template, you can open the template and click «Edit Portfolio Template» to edit the template, or «Edit Page» to edit the current page. If no page has been created yet, follow the steps below:
Go to the location on ILIAS where you have stored the template.
Open the template's actions menu.
Select «Edit».

Add new pages

New portfolios usually come with at least one page already created, so it is not necessary to add a new page. For portfolio templates, on the other hand, you usually have to add a new page first.
If your portfolio has two or more pages, each page will be displayed as a separate tab with the respective page title.
Click on «Add Page».
Give the page a «Title».
Click «Save» or «Save ordering and titles».

Copy pages

Open the page's actions menu.
Select «Copy».
For portfolios: Select the location for the copy of the page.
For portfolio templates: Select which template the page should be copied to.
Click «Save».

Sort pages

In the «Order» column, enter the desired order of the pages.
Click «Save ordering and titles».

Delete pages

Open the page's actions menu.
Select «Delete».
Confirm by clicking «Delete».

Add content to pages

Click on «Edit Page». This opens the page editor, with which you can add content to the page (see Manual: Page Editor).
If you want to use your portfolio as your ILIAS profile (see 5.6 Use your portfolio as your ILIAS profile), you can use the option «Insert Personal Data» to insert the data you have stored in your profile (see Manual: ILIAS 101).
Select whether the data stored and published in your profile should be transferred automatically or whether you want to select stored data manually.
Since you have the option to use the portfolio as your ILIAS profile (see 5.6 Use your portfolio as your ILIAS profile), you have to be careful when selecting data manually because you overwrite the ILIAS profile with the portfolio. Information you have not previously imported from the profile into the portfolio will thus no longer be visible.
Click  «Save».
For portfolio template only: Instead of content, you can insert placeholders using the Page Editor. 
Select the «Insert Placeholder» option.
Specify whether you want to insert a «Placeholder Text» or «Placeholder Media».
Click «Insert».
When using a portfolio template with placeholders, users can also add content outside of the placeholders.

5. Share a portfolio

In order for a portfolio to be viewed by others, it has to be shared. You have the following options for sharing: 

ILIAS-wide or web-wide sharing, sharing with selected ILIAS users oder eine
sharing with group or course members. Furthermore, you can use your portfolio as your ILIAS profile.

To share your portfolio, it first has to be set «online» (see 3.3. Adjust settings).

Access sharing preferences

In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Open the portfolio's actions menu.
Select «Share».

Share portfolio ILIAS-wide or web-wide

Go to the sharing options (see 5.1 Access sharing preferences).
Select the preferred option from the drop-down menu.
All Registered Users: All users registered on ilias.unibe.ch can see your portfolio.
World Wide Web with Password: Your portfolio is accessible web-wide with a password. You will be prompted to enter and confirm a password.
World Wide Web: Your portfolio is accessible web-wide.
Click «Add».
Share the link to your portfolio. You can find the link to your portfolio at the bottom of your portfolio under «Permanent Link»

Share portfolio with selected users

Go to the sharing options (see 5.1 Access sharing preferences).
From the drop-down menu, select «A Single User».
Click «Add».
In the search bar, enter the user name or first and last name of the person.
Click «Search».
Select the relevant person from the list.
Click «Share with users».
Share the link to your portfolio. You can find the link to your portfolio at the bottom of your portfolio under «Permanent Link»

Share portfolio with group or course members

Go to the sharing options (see 5.1 Access sharing preferences).
From the drop-down menu, select «Members of Groups» or «Members of Course».
Click «Add».
You can share the portfolio with an entire group/course or with individual group/course members.
Share with the entire group/course: Select the group or course and click on «Execute».
Share with individual group/course members: Select the group or course. Select «List members» and click «Execute». Select the relevant members and click «Share with members».
Share the link to your portfolio. You can find the link to your portfolio at the bottom of your portfolio under «Permanent Link»

Stop sharing

Go to the sharing options (see 5.1 Access sharing preferences).
In the «Actions» column, click «Remove» for the sharing option you want to delete.

Use your portfolio as your ILIAS profile

If you have created a portfolio about yourself, you can use it as your ILIAS profile (see Manual: ILIAS 101) nutzen.

To ensure that your data stored in the profile is not lost, you can transfer it to the portfolio in advance (see 4.7 Add content to pages).

To use the portfolio as your profile, it has to be set to «online» (see 3.3. Adjust settings) and shared with at least all registered ILIAS users (see 5. Share a portfolio).
In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Open the portfolio's actions menu.
Select «Set as My Profile».

6. View other people's portfolios

The easiest way to view another person's portfolio is for that person to send you the link to the portfolio. 

Shared portfolios are also linked in a person's ILIAS profile and can be accessed from there. The easiest way to access user profiles is via the member galleries in courses and groups. 

If students of your course are supposed to submit portfolios, you can manage this submission via an exercise and retrieve the portfolios there (see Manual: Exercise). This gives you a better overview of who has already submitted a portfolio and who has not.

In addition, you can proceed as follows to view a portfolio:
In the main menu on the left, click on «Workspace».
In the expanded submenu, click «Portfolio».
Go to the «Portfolios of Other Users» tab.
To reduce the number of results, enter information you know about the portfolio, e.g., the owner's «Login/Name». If you do not have any information, skip this step. In this case, all portfolios shared with you will be listed.
Click «Search».
In the «Title of Resource», click on the portfolio to open it.
