1. Login & user account

Log into ILIAS 

To log in to ILIAS, go to ilias.unibe.ch.
Depending on how you access ILIAS, you will land on the login screen or in the repository. In both cases, you have to log in first:
Repository: Click on the log-in icon in the top right corner. Select your organization (e.g. «Universität Bern», «Insel Gruppe», «VHO - Virtual Home Organization») and click «Fortfahren». Then log in with the applicable user data (edu-ID for Uni Bern).

When you log in for the first time, accept the terms of use.
After you have logged in, your account icon will appear in the top right corner. This is where you can adjust settings for your user account (see 1.2 User account settings), change your profile and privacy settings (see 1.3 Profile and privacy) and log out of ILIAS. 

User account settings

In your user account settings, you can set your time zone, date format, etc. Particularly relevant are the language and personal start page settings.
Click on your account icon.
Select «Settings»
You can change the system language of ILIAS at any time. The available languages are German and English. When you log in to ILIAS, the language you selected during your last login will be displayed automatically. The language chosen is user-specific, i.e., it cannot be set for all users who visit your course. 
You can specify which page will be displayed as your start page after login. Besides the default setting, the following options are available:
In the «Mail Settings» sub-tab, you can define a signature for mails sent from ILIAS and specify how ILIAS-internal mails should be handled. We recommend keeping the option «local and forwarding». This way, you can receive messages in the internal ILIAS mailbox and have a copy automatically forwarded to the email address listed under «Profile and Privacy».
The email address listed in your profile is always the one stored in your login data (e.g. Campus Account UniBern). Forwarding to a private email address is not possible.
If mail forwarding from ILIAS to your e-mail is not working, the «auto-answer@ilub.unibe.ch» sender is probably blocked in your Outlook settings. To unblock the sender, log into https://outlook.office.com (enter your Unibe e-mail address to log in) and then follow the steps described under “Unblock sender".

Profile and privacy 

Under «Profile and Privacy» you can find your ILIAS user name and add additional personal information to your name and email address, which cannot be changed. It is also recommended to publish your profile, so that others (e.g. course members) can see your information and contact details in a course members gallery.
Set up your profile
Click on your account icon.
Select «Profile and Privacy»
Fill out the form.
You can upload your own profile picture. If you publish the picture (see publish your profile), it will appear as your account icon in the top right corner of the Top Bar.

Select «Profile and Privacy»
Go to the «Publish Profile» tab.
Select the option «Visible for logged in Users» (the profile can only be accessed within ILIAS, e.g., in the member gallery of courses and groups) or «WWW / Accessible for all Users on the Internet» and check the information you want to be displayed to the viewer.
Save your selection. You will be automatically redirected to the «Preview» tab and can check here whether all relevant information is displayed.
You can include the data you publish here in a «Portfolio» (see Item description: Portfolio).

2. ILIAS structure - Finding your way around ILIAS

Menus & functions

You can always return to your ILIAS start page via the Unibe icon. You can change your start page in the settings (see 1.2 User account settings).
In the main menu you will find the main menu items. Clicking on a menu item opens the corresponding «Slate» with submenu items.
In the «Slate» you can find submenu items. Clicking on an item opens the associated page or reveals associated pages.
Use the arrow at the bottom of the slate to close the slate.
In the top bar you can find, among others, the following:
  • Notifications: Here you will be notified when you have received new ILIAS mails or other notifications (e.g., from an ILIAS Wiki). 
  • Search: Here you can search for existing ILIAS items (see 2.3. Navigation & search).
  • User account: Here you can configure your profile and privacy settings (see 1.3 Profile and privacy  ), change account settings (see 1.2 User account settings) and log out.

Repository & content organization

The «Repository» is the foundational level of the overall structure of ILIAS and contains all content of the platform. The repository can be set as the start page (see 1.2 User account settings) and be accessed via the main menu (UniBE > Landing Page).
At the University of Bern, the content on ILIAS is organized in the following hierarchy:
  • (Repository)
    •  Faculty
      • Institute
        • Semester
          • Course type
            • Courses
This structure is also reflected in the «Tree View» and the breadcrumb (see 2.3 Navigation & search).

Navigation & search

There are three options for general navigation that you can use to move around in ILIAS: the repository, the tree view and the breadcrumb. Furthermore, you can find content using the search function. In addition, you have various options for individualized quick access available in your «Workspace» (see 3. The ILIAS workspace - More efficient navigation).
From the «Repository» you can access all content on ILIAS. To do so, first click on the respective faculty and work your way to the course you are looking for.
The UniBE > Tree View menu item allows you to efficiently navigate to a course without opening a new page with each click.
The breadcrumb is a path that shows which level within the platform you are currently on and which levels it is subordinate to. Each level is linked so you can navigate one, two, or more levels up in one go. You can thus use the breadcrumb navigation instead of your browser's «Back» button.
Click on the magnifying glass to open the search function. Enter your search term and click on «Suche».ILIAS does not only search for courses, but also for files, folders, groups, forums, etc. You can identify the type of the search result by the icon on the left side of the search results.
In the search bar you can
view your last search result.
search the entire repository. If you are not in a course or group, your search term will automatically be extended to all of the University of Bern's ILIAS.
search at the current position if you are in a course or group e.g. for a specific item.
If you are searching for a specific course, it is best to enter the KSL root number, e.g. 3928. Wait a moment and ILIAS will generate a list of matching, linked search results that you can click for quick access.
To return to your start page, you can click on the UniBE icon.

3. The ILIAS workspace - More efficient navigation

In the workspace, various options are available for individualized quick access to your ILIAS content. These are the sections «Current Semester», «My Courses and Groups», «Last Visited» and «Favourites». The workspace also includes your calendar and your portfolios (see Item descriptions: Other features), each of which is described in separate manuals. You can define some of these views as your start page (see 1.2 User account settings).

Current semester

The «Current Semester» lists all courses you are registered for in the ongoing and following semester as well as in the three previous semesters. Only courses whose title includes the respective semester are listed, which is the case for most but not all courses (see Manual: Course).
From the main menu, open your «Workspace»
Click on the submenu item «Current Semester»
The default view lists courses of the ongoing semester. You can customize the display by clicking on the desired semester.
Above the courses, you will see which discipline the listed courses belong to.
Use the «Current Semester» submenu item to quickly navigate to your courses in the ongoing semester.

My courses and groups

The submenu item «My Courses and Groups» lists all courses and groups you are a member, tutor, or administrator of. Here, you can also unsubscribe from courses and groups (if allowed). Unsubscribing for students is only possible if the unsubscribe date has not expired and they have permission to «Unsubscribe». Unsubscribing for administrators is only possible if there is at least one other administrator in the group or course.

If a course or group is not listed here, you are not a member. You can find out how to join a course in the Manual: Course.
From the main menu, open your «Workspace»
Click on the submenu item «Current Semester»
All courses and groups that you are a member, tutor or administrator of are listed. You can access the course or group by clicking on the item, provided you have access permissions.
To sort the list, open the actions menu and select in which order you want to sort the items. You can identify the current sorting method by the headline of the bars above the groups and courses.
  • Sort by Location: Courses and groups are grouped by storage location (the next higher level). If they are filed in the same category in ILIAS (e.g., HS2023 > Lecture), they will be displayed below each other.
  • Sort by Type: All courses are listed separately from all groups.
  • Sort by Start Date: Courses and groups are sorted by event period if a period has been entered.
You can use the submenu item «My Courses and Groups» to unsubscribe from courses and groups. You have two options:
To unsubscribe from a single course or group, open the item's actions menu and select «Unsubscribe from Course/Group».
To unsubscribe from multiple courses or groups in one go, open the actions menu next to «Memberships» and select «Unsubscribe Multiple». Select the courses and groups you want to unsubscribe from and click «Unsibscribe».
Use the «My Courses and Groups» submenu item to quickly navigate to your courses and groups that are not assigned to a semester (e.g., working groups).

Last visited

The «Last Visited» submenu item allows you to revisit recently visited pages or items.
From the main menu, open your «Workspace»
Click on the submenu item «Last Visited»
The last 10 visited items are listed in a drop-down menu. You can tell by the icon which type (e.g., course, group) it is. Clicking on the item will take you to the item, provided you have access permissions.
Use the «Last Visited» submenu item to quickly return to recently used content.

Favourites

You can add (almost) any ILIAS item to your «Favourites» to create a custom quick access list. You will find direct links to the items (groups, courses, exercises, etc.) that you have placed on this list. Adding an item to your favourites will not work if the administrator has disabled this option for the item.
From the main menu, open your «Workspace»
Click on the submenu item «Favourites»
All your favourites are listed in a drop-down menu. You can tell by the icon which type (e.g., course, group) it is. Clicking on the item will take you to the item, provided you have access permissions.
There are two ways to add an item to your favourites:
Open the item you want to add and then go to the next higher level using the breadcrumb (see 2.3 Navigation & Search). From there, open the item's actions menu and select «Add to Favourites».
Open the item you want to add. Open the item's actions menu in the top right corner next to the title and select «Add to Favourites». This option is not available for all items.
There are two ways to remove an item from your favourites:
Open the item you want to add and then go to the next higher level using the breadcrumb (see 2.3 Navigation & Search). From there, open the item's actions menu and select «Remove from Favourites».
Open the item you want to add. Open the item's actions menu in the top right corner next to the title and select «Remove from Favourites». This option is not available for all items.
In the «Favourites» submenu, open the actions menu and select «Configure». Select the items you want to remove and click «Remove».
Use the «Favourites» submenu item to quickly access frequently used and/or important items without having to navigate to their source location via the «Repository».

4. ILIAS Mail

As an ILIAS user, you have access to ILIAS' internal mailing system. This allows you to receive emails within ILIAS and send them to other users, e.g., course participants or group members. However, emails can also be sent to external email addresses such as muster@gmx.net.

Please note that messages you receive in your ILIAS mailbox are also forwarded to your university email address by default. If mail forwarding to your email address is not working, you need to unblock the ILIAS sender in your Outlook. Emails sent directly to your university email address will, in turn, not appear in your ILIAS inbox.

View emails

From the main menu, open your «Messages»
Click on the submenu item «Mail». This opens your inbox.
To view sent or deleted emails or drafts, select the appropriate folder. If you do not see the folders, click «Tools» to open the slate.
If you have unread emails in your inbox, this will also be indicated in the notifications. You can also access your inbox via the link provided there.

Send emails

From the main menu, open your «Messages»
Click on the submenu item «Mail».
Go to the «Compose» tab. Here you can compose and send your email as usual.
To send an email to course or group members, we recommend creating and sending this email directly in the course or group (see Manual: Course or Manual: Group).
